What you'll need
Log into ChatGPT. In a new conversation, start by giving context:
"I am an ASC coordinator at [your center name], an ambulatory surgery center specializing in [your specialties]. I need help drafting physician credentialing documents. I'll give you the details and you'll write the document. Our center is located in [city, state]. Our credentialing contact is [your name, title]."
This context ensures every document ChatGPT writes includes your center's specific information without you having to re-type it.
What you should see: ChatGPT acknowledges your context and confirms it's ready to help.
Type:
"Write a credentialing reminder letter to Dr. Sarah Chen, an ophthalmologist. Her state medical license expires June 30, 2026. We need her renewal documentation by June 1, 2026 — 30 days before expiration. The letter should: state what's expiring, state the deadline, include a bulleted checklist of exactly what documents to submit, and include our credentialing contact information."
What you should see: A complete, professional letter ready to be printed on your letterhead and sent.
When a new surgeon applies for privileges at your ASC, they need a formal cover letter to accompany their privilege application packet. Type:
"Write a privilege application cover letter for Dr. James Rivera, an orthopedic surgeon, applying for surgical privileges at [center name]. He is a board-certified orthopedic surgeon specializing in joint replacement and sports medicine. He is currently a member of [hospital name] medical staff. The letter should be addressed to our Medical Executive Committee and request approval of privileges for total knee and hip arthroplasty, shoulder arthroscopy, and knee arthroscopy. His application is enclosed."
When a new physician joins your ASC, there's a long list of items to complete — credentialing, orientation, EHR access, parking, etc. Type:
"Create a comprehensive onboarding checklist for a new physician joining our ambulatory surgery center. Include sections for: pre-start date items (credentialing, privileges, payer enrollment), first week items (orientation, EHR training, locker assignment, badge), and first month items (quality committee introduction, first case review). Format as a checklist with checkboxes."
When you receive a peer reference request for one of your physicians from another facility, you need to respond formally. Type:
"Write a response to a peer reference request from [facility name] regarding Dr. Michael Thompson, an ENT surgeon on our medical staff since 2019. He is in good standing, has active privileges in head and neck surgery and sinus procedures, has had no adverse outcomes or disciplinary actions, and we recommend him without reservation. The requesting facility is conducting a routine 2-year re-credentialing."
Credentialing reminder (any credential type):
Write a credentialing reminder letter to Dr. [name], [specialty]. Their [DEA / state license / board cert / malpractice insurance] expires [date]. Our submission deadline is [date]. Include a document checklist and contact info.
New physician privilege request cover letter:
Write a privilege application cover letter for Dr. [name], [specialty], applying for privileges at [center name]. Requested privileges: [list]. Current staff membership: [hospital]. Address to our Medical Executive Committee.
Response to peer reference request:
Write a peer reference letter for Dr. [name], [specialty], who has been on our medical staff since [year]. They are in good standing, have active privileges in [procedures], and we [recommend / do not recommend] them. No adverse actions. Address to [requesting facility].
Privilege delineation letter:
Write a letter documenting the approved surgical privileges for Dr. [name] at [center name]. Approved privileges: [list of procedures]. Effective date: [date]. This confirms their current privilege status for their files.
